Presentation guidelines
Important note on upload deadline
Please note our presentation upload deadline, Wednesday 11th June, falls several days in advance of the meeting itself. This will allow us the time needed to test each presentation and make sure the everything runs smoothly on the day. We will be very grateful to receive your presentation no later than the given deadline so that we can reduce as far as possible the chance of any technical issues.
Oral presentations
Both in-person and virtual oral presenters will present their talk live. Plenary session talks are allotted 15 minutes, plus 5 minutes for questions. Parallel session talks are allotted 12 minutes, plus 3 minutes for questions.
Slide formats
Talk slides will be displayed from a dedicated laptop within each session. Slides are required in advance of the meeting, to give us time to test the presentation and ensure everything displays properly. We accept PowerPoint, Keynote and pdf slide formats. We recommend the 16:9 format, to make full use of the display screen. All videos should be set to play “in click sequence” if possible.
Uploading instructions
Please label slide files with the speaker's last name, first name, and submission ID, e.g. LastName_FirstName_ID.ppt. To upload your slides, please use the link provided in your presentation guidelines email.

Poster presentations
The meeting will support three modes of poster presentation: printed posters, which will be displayed in the meeting lunch venue; digital posters, which will be displayed in our dedicated online gallery; and poster lightning talks, which will be presented during the parallel sessions on Wednesday and Thursday.
Digital posters
All posters will be displayed in our dedicated online gallery, which is embedded in the conference programme. The online version will ensure that both in-person and virtual attendees will be able to view all posters. The gallery will be advertised to all attendees on Thursday 12th June, providing an opportunity for attendees to browse the gallery prior to the meeting itself.
To upload your poster, please use the following link, which will take you to the form you used to complete your original abstract submission. Scroll down to the bottom of the form to find the 'Poster' question and an upload link for the .pdf version of your poster.

Poster lightning talks
All poster presenters are invited to present a one-minute poster 'lightning' talk during the parallel sessions. Each lightning talk must be accompanied by a single slide summarising your poster. Upload instructions depend on whether you are attending in-person or virtually.
In-person attendees: poster presenters attending in person are invited to give a live one-minute lightning talk during the meeting. Please prepare one slide, summarising your poster, to accompany your presentation.
Virtual attendees: poster presenters attending virtually are invited to pre-record a one minute lightning talk, which will be played during the meeting. We recommend using Zoom to create your recording. Please find our recording guidelines here.
To upload your slide or recording, please use the link provided in your poster upload email. Please label your files with your last name, first name, and submission ID, e.g. LastName_FirstName_ID.ppt or LastName_FirstName_ID.mp4.

Printed posters
Poster presenters attending in-person have the opportunity to bring a physical poster, which will be put on display in the meeting lunch venue, Wichernhaus. Each poster will be displayed for two days (Tuesday and Wednesday or Thursday and Friday). Dedicated poster viewing sessions will take place following lunch on Tuesday and Thursday.
Posters are required in size A0 and portrait orientation. Please bring your poster to the poster drop-off desk at the theatre, which will be open from 12-5.30pm on Monday 16th June and Tuesday 17th June. Our Events team will put your poster up ahead of its display period.
It will be possible to print your poster in Görlitz if needed, and we provide the details of a local printer below. Please note that since each poster takes 15 minutes to print, it may not be possible to use this option if there is high demand; we cannot guarantee that your poster would be ready in time to be displayed.
- Digital print, 120g/m²
- About 10 min walk away from the theatre (Blumenstraße 1, 02826 Görlitz)
- Opening hours: Mon-Thu 9am-4pm, Fri 9am-3pm
- It takes about 15 minutes to print a poster (please calculate some extra time; you might not be the only customer)
- .pdf file (A0, CMYK, text converted to curves) can be sent by email (rp@reproprofi-goerlitz.com) or brought along on a USB stick
- .pdf files will be printed the way they arrive - no proof-reading!
- Current price: 13,80 Euro incl. tax (could change in June)
- Payment is currently only possible in person, and can be made by cash, debit card or credit card. Payment required before printing can be done.
- Customer receives a detailed receipt, but no invoice.
